AI: Ally or Rival? An Administrative Professional’s Perspective

In my previous post in this series, AI: Ally or Rival?, we explored the long and surprising history of artificial intelligence—how early tools like spell‑checkers introduced simple automation into everyday work. We also discussed the importance of Administrative Professionals continuously evolving, growing, and developing new skills to stay relevant in an increasingly AI‑driven work environment. 


This week, we’re taking the conversation further.

Human Advancement Always Brings Change 

For the entirety of human history, emerging technologies have replaced earlier legacy tools, reshaping how work gets done. From an administrative professional’s perspective, the typewriter—widely adopted in offices by the 1880s—helped create new clerical departments and reduced reliance on handwritten documents. Nearly a century later, the personal computer helped accelerate a transition away from large typing pools and centralized filing departments, and contributed to the evolution of the traditional secretary role into the multifaceted Administrative Professional we recognize today. 


Every technological wave brings disruption and adaptation, including job loss, but history often shows that those who adopt new tools early are more likely to transition into more specialized, higher‑value roles. AI is the latest tool in this long line of technologies reshaping administrative work—just as the typewriter and personal computer did in earlier eras. 

 

What AI Does Well 

Artificial Intelligence performs best with work that is structured, predictable, repetitive, or rule‑based—tasks that follow clear patterns and can be broken down into steps. AI performs exceptionally well at: 

Drafting and editing routine communications (Grammarly) 

Transcribing and summarizing meetings (Otter.ai) 

Managing calendars and scheduling (Calendly) 

Like earlier office technologies, these systems handle repetitive essentials, freeing professionals to focus on strategic contributions. 

At the same time, AI systems can sometimes produce inaccurate or biased results and may pose privacy risks if used with sensitive information. Human review and judgment remain essential. 

 

What AI Does Not Do Well 

While AI is remarkably powerful, it cannot replicate the inherently human qualities that define effective administrative work—judgment, insight, discretion, ethical reasoning, emotional intelligence, nuanced communication, relationship‑building, and the ability to prioritize amid ambiguity. Even the most advanced AI models lack the kind of adaptive learning and broad generalization that even simple animals display; unlike humans, AI do not feel, understand, or possess consciousness or intuition. This is still firmly in the realm of science fiction and—beyond mimicry—will remain so. 

This is precisely where Administrative Professionals excel: our value has never been in typing speed or calendar management, but in our judgment, presence, influence, and capacity to act as strategic partners. 

 

Make AI Your Superpower 

I remember supporting multiple Partners and Senior Managers in a fast‑paced environment, staring at my to‑do list and thinking, “I could really use an assistant.” You may have felt the same—projects piling up, deadlines overlapping, and no time to catch your breath. Today, AI can be that extra set of hands, brainpower, and bandwidth. 

AI is a scalable assistant—one you can grow, refine, and direct. 

Use it well, and you become more efficient, more strategic, and ultimately more valuable. Let's explore how. 


Learn How AI Works 

Let’s start with the basics. Today’s AI tools fit into a few simple groups: 

  • Narrow AI — designed to do one specific thing, such as transcribing meetings, analyzing data, or recommending content. 
  • Generative AI — a newer form of Narrow AI that creates new text, images, audio, or code. 
Behind these tools are technologies such as machine learning, deep learning, natural language processing, and computer vision. ChatGPT is a Large Language Model (LLM)—a type of AI trained on vast text data to model and generate natural language that mimics human communication. How well it works for you depends on how you communicate with it, through prompt engineering.


A good prompt tells the AI who it should act as, what you want it to do, how you want the output to look, and any limits it should follow. For example, if you want a LinkedIn post announcing a new service for executives: 

  1. Assign a role: “You are a senior marketing strategist.” 
  2. Give it a task: “Write a LinkedIn post announcing my new service.” 
  3. Specify the output: “150–200 words, professional tone.” 
  4. Add constraints: “Include a clear call to action.” 

This step‑by‑step approach helps AI give you accurate and relevant results and turns it into a powerful collaborator instead of just another tool.

Conclusion 

AI can absolutely make you a better Administrative Professional. Yes, every major advancement in history brings disruption—but it also brings opportunity. The people who adapt, experiment, and incorporate new tools into their workflows are far more likely to remain relevant. They become more valuable because they evolve alongside the needs of their organizations. 


Administrative Professionals are the infrastructure of the workplace—the bridges, the connectors, the stabilizing force. With AI as your superpower, you can expand your influence, increase your impact, and continue providing exceptional support. It’s not about competing with AI. It’s about partnering with it. 

And those who learn this partnership will lead the future of our profession.
